Information we collect
Information you give us on this website
- Campus tour requests: your name, email, phone number, the programs you are interested in, preferred tour days, the best time to call, and any notes.
- Contact messages: your name, contact details, the topic, and your message.
- CREW applications: the applicant’s name, birth date, phone, email, answers about interests and experience, and summer availability.
- Job applications: your name, contact details, address, availability, the programs you are interested in, work history, resume details, and anything you tell us about yourself.
- Wait lists: some programs use a Google Form for wait lists. Google collects that information on our behalf.
Information families share when enrolling
Registration, enrollment, daily communication, and tuition are managed through Brightwheel. When you enroll, we collect what we need to care for your child safely, such as your child’s name and birth date, parent and guardian contacts, authorized pick-up people, emergency contacts, health information (allergies, Individual Health Care Plans, medication authorizations, and required health records), and billing details.
Information collected automatically
Like most websites, our site and hosting provider record basic technical information such as your browser type, device, and pages visited. We may use analytics tools, such as Google Analytics through Google Tag Manager, to understand how families use the site. These tools use cookies.
How we use it
- To schedule tours, answer questions, and follow up with families.
- To enroll children, plan classrooms, staff programs, and keep children safe.
- To communicate about your child’s day, closures, events, and tuition.
- To review CREW and job applications and contact applicants.
- To improve our website and programs.
- To meet licensing, health, safety, and legal requirements.
We do not sell or rent personal information, and we do not use it for advertising.
Children’s records
Each child’s record is kept confidential. Only SHED staff who need the information to care for your child can see it.
- Parents and guardians may review their own child’s record by asking a director.
- We do not release a child’s information to anyone outside SHED without a parent or guardian’s written permission, except when the law requires it, such as for licensing reviews, health and safety emergencies, or mandated reporting of suspected abuse or neglect.
- Please tell us right away about changes to contacts, pick-up permissions, custody arrangements, or health needs so your child’s record stays current.
Photos and videos
Documentation is at the heart of the Reggio Emilia approach, so educators take photos and short videos of children at work and play. We use them to reflect on learning with children and to share your child’s day with you through Brightwheel.
- We ask for a parent or guardian’s permission before using a photo in which a child can be identified on our website, social media, or printed materials.
- You can change your photo permission at any time by letting a director know.
- We never post a child’s full name with their photo.
- Please do not post photos or videos of other children from SHED events without their family’s permission.
How we protect and keep information
We limit access to people who need it, use secure, password-protected systems, and train our staff to handle family information with care. No system is perfectly secure, but we work to protect your information and will let you know if a problem affects you.
We keep enrollment and health records for as long as your child is enrolled and afterward for as long as licensing and legal requirements call for. Tour requests, messages, and applications we no longer need are deleted.
Your choices
- Ask to see, correct, or update the information we hold about you or your child.
- Ask us to delete website form submissions you have sent us.
- Change your photo permission at any time.
- Block or delete cookies in your browser settings. The site will still work.
Children and teens online
Our website is written for parents, guardians, and job applicants. We do not knowingly collect information online from children under 13. CREW applicants are teens entering 9th grade, and we ask them to apply with a parent or guardian’s knowledge.
Changes to this policy
We may update this policy as our programs and tools change. The date at the top shows when it was last updated.
